Overview

The Retail Communications + Operations Coordinator supports the day-to-day communication and operational processes that keep retail teams informed, organized, and focused on the customer.

 

Reporting to the Communications Manager, this role coordinates information and priorities between Home Office and stores, manages weekly Store Communications, maintains key calendars and resources, and supports Store Operations initiatives. This role helps ensure information reaching stores is timely, relevant, and easy to action, supporting teams in serving customers, driving sales, and executing brand priorities.

Store Communications

  • Own the weekly production of the UO Download, UO’s primary communication and planning resource for store teams, including collecting submissions, managing deadlines, writing and editing content, and publishing. 
  • Write, edit, proofread, and distribute store and field communications supporting operations updates, product, collaborations, brand initiatives, and employee programs.
  • Review all store-facing content for clarity, relevance, accuracy, action, timing, and potential store questions. 
  • Support the Communications Manager in developing and executing retail communication plans and initiatives.
  • Own and develop the UO retail intranet, including creating and updating pages, content, tools, and resources to keep information accurate, organized, and easy to navigate.
  • Coordinate recurring Store Operations and Retail meetings, including creating agendas and meeting materials, collecting and organizing content, building presentations, and documenting notes and follow-up.
  • Build presentations, recaps, and supporting materials using established templates and brand standards.
  • Identify opportunities to simplify and improve communications, processes, tools, and resources for store teams.

 

Planning + Coordination

  • Own the Retail Calendar, providing visibility to upcoming priorities and identifying timing conflicts. 
  • Coordinate with cross-functional partners to gather information, clarify gaps, and keep deliverables on schedule.

  • Create and manage retail planning and Store Operations tools and resources, including calendars, product + release information, trackers, templates, distribution lists, and other store execution materials.

 

Store Operations

  • Own the Store Operations inbox and serve as a primary point of contact for store questions and requests, partnering across Stores, Field Leadership, and Home Office to provide timely answers, resources, and resolution. 
  • Coordinate Store Communications + Operations initiatives, including creating and managing assigned timelines, trackers, follow-ups, and deliverables.
  • Support the coordination and execution of promotions, markdowns, pricing changes, inventory tasks, product launches, store events, surveys, and other operational priorities.

Skills + Qualifications

  • Strong written communication and editing skills to make information simple, engaging, concise, and actionable. 
  • Exceptional organization and attention to detail with the ability to prioritize and manage multiple deadlines, projects, and recurring processes.
  • Strong project coordination, ownership, and follow-up skills.
  • Understanding of the store experience and ability to use sound judgment to recognize what is most relevant, timely, and actionable for retail teams.
  • Collaborative and comfortable working cross-functionally with partners at varying levels of the organization.
  • Comfortable communicating in meetings and occasionally presenting information or facilitating discussions..
  • Strong presentation and document-formatting skills, with an eye for clear information hierarchy, layout, and visual consistency.

 

Experience

  • 1–3 years of experience in retail, communications, operations, project coordination, or a related field preferred. Retail experience is strongly preferred.
  • Proficiency in Google Workspace/Microsoft Office, Slides/PowerPoint, Docs/Word, and Sheets/Excel.
  • Experience working with intranet, content management, project management, or internal communication platforms is a plus.

 

Role Requirements

  • Must be based in the Philadelphia area and able to work a hybrid schedule with a minimum of three days per week in the office.
  • Ability to travel to store locations as needed.
